The Fix: 3-List Timeboxing Productivity

Urgent & Important – These tasks drive real results. They impact growth and need immediate attention. (Example: Prepping for an investor pitch tomorrow.)

Important – These are the long-term wins that grow your business but don’t have an immediate deadline. (Example: Creating a system to automate client onboarding.)

Urgent (But Not Important) – These are the time-sucking distractions that feel pressing but don’t actually move the needle. (Example: Sorting through Black Friday promo emails.)


Reality Check: Most people spend their time trapped in urgent but not important tasks-meaning they stay busy, but not productive.



How to Implement 3-List Timeboxing Productivity

Now that you’ve sorted your tasks, here’s how to actually get things done.

  • Timebox Your Most Important Tasks

    • Schedule Urgent & Important tasks in your best focus hours (typically morning).

    • Block 60-90 minutes per task with zero distractions—yes, that means no Slack, no emails, no context-switching.

    • Take 15-minute breaks between deep work sessions to reset.

  • Plan for Long-Term Growth

    • Allocate Important tasks to designated days. (Example: Mondays for strategic planning, Wednesdays for content creation.)

    • Don’t let them get pushed aside by “urgent” distractions.

  • Delete the ‘Urgent’ List

    • Yes, delete it. This is where you reclaim your time.

    • Stop letting fake urgencies dictate your schedule. (Pro tip: Learning to say no is a game-changer.)
